Position Overview:

The Member Engagement & Operations Coordinator plays a vital role in supporting the West Orange Chamber of Commerce’s mission to foster a thriving business community. This role is responsible for enhancing the member experience, maintaining smooth event operations, and ensuring internal systems and communication processes run efficiently.

This internship is ideal for:

• Upper high school students (with parental and/or school approval)
• College students looking for meaningful professional experience
• Individuals looking to re-enter the workforce and seeking hands-on, resume-building opportunities
• Retirees/Older Adults looking to contribute in a meaningful way

Key Responsibilities:

Member Engagement & Support

• Schedule welcome meetings and website tours for new members.
• Review the current membership list and create a monthly outreach schedule to check in with members.
• Offer and coordinate phone or in-person meetings to support member engagement.
• Collect and organize information for new member spotlights to be featured on social media and in newsletters.
• Reach out to potential new members

Event Support

• Assist with planning and logistics for Chamber events using a pre-existing checklist.
• Provide on-site support during events, including setup and breakdown.
• Coordinate food orders and set up for monthly board meetings.

Administrative Support & Systems

• Set up and maintain Calendly scheduling links for Chamber appointments.
• Troubleshoot member management software (e.g., Membee) and escalate as needed.
• Keep the Chamber calendar updated with meetings, events, and deadlines.
• Help develop and document Standard Operating Procedures (SOPs) for core processes.
• Other tasks as requested by ED

Qualifications:

• Excellent interpersonal and written communication skills.
• Proficiency with scheduling and calendar tools (Google Calendar, Calendly).
• Comfortable working with software platforms (e.g., Membee, CRM systems & AI).
• Strong organizational and multitasking abilities.
• Ability to work independently and as part of a team.
• Event planning or administrative support experience is a plus.
• Must have own laptop & phone
